Why we built an FE platform after 10 years in schools

Applicaa has spent 10 years building admissions technology for 2,300+ schools and sixth forms. In that time, we have learned one thing above all else: the pre-application journey is where institutions win or lose students. On 26 March, we are launching a purpose-built enrolment platform for FE colleges. This is the story of why - and what we think it changes.

We did not start in FE - and that is the point

Applicaa was born in 2015 as a schools admissions platform. Over the past decade, we have worked with more than 2,300 schools across the UK, handling millions of applications through changing regulations, shifting demographics, and rising expectations.

Through all of it, one lesson has stayed constant: the institutions that consistently fill their places treat admissions as a continuous relationship. Not a form to be processed, but a pipeline to be nurtured.

Sixth forms that simply opened applications and waited struggled. Schools that engaged families early - through open events, timely communication, and a clear view of every student from first enquiry to enrolled place - outperformed year after year.

That insight did not stay neatly within the schools sector. It followed us into every conversation we had with FE leaders.

What we kept hearing from colleges

Over the past two years, we spoke with admissions leads, marketing teams, and senior leaders at dozens of FE colleges. The stories were remarkably similar - and remarkably familiar.

One admissions manager told us she was maintaining five separate spreadsheets just to track a single cohort from enquiry to enrolment. Another described spending the first two weeks of September manually cross-referencing open event registrations with application data, trying to work out which students had simply gone quiet. A marketing director at a large general FE college put it plainly: "We can tell you how many people clicked an ad. We genuinely cannot tell you how many of those people enrolled."

These are skilled, committed professionals. They are not failing - they are working within systems that actively work against them.

What struck us most was how familiar it all sounded. We had seen exactly these problems in schools five years ago, before purpose-built admissions technology existed for that sector. FE is where schools were in 2018 - but with greater cohort complexity, tighter margins, and higher stakes.

What's launching on 26 March

On 26 March 2026, we are releasing Admissions+ for FEs. It is not our schools platform with a new label. The learner journeys are different, the cohort complexity is different, and the reporting needs are different. The platform reflects that.

Enquiry and pipeline management. Every prospective student tracked in one place, from first website visit to enrolled learner. In practice, this means an admissions team starting their Monday morning with a live view of where every enquiry stands - not an inbox full of spreadsheet attachments to reconcile.

Open event management. Registration, reminders, attendance tracking, and post-event follow-up in a single workflow. Colleges will know exactly who attended, what they expressed interest in, and - crucially - what happened to them afterwards.

Automated nurture sequences. Timely, personalised communication triggered by student behaviour. Not batch-and-blast emails sent to everyone on a list, but relevant messages sent to the right person at the right moment - the kind that turn a wavering enquiry into a confirmed application.

Source attribution. Connect marketing spend to actual enrolment outcomes. Know which campaigns, channels, and events generate students who show up in September - not just students who clicked a link in February.

Real-time dashboards. Pipeline visibility when it matters, not three weeks after the recruitment window has closed. Senior leaders can see where pressure is building and act before it becomes a shortfall.

The bigger picture: ApplicaaOne

There is a structural problem sitting behind all of this that a single college platform cannot solve alone.

Right now, a student finishing Year 11 faces a deeply disjointed process. UCAS gives university applicants a single, coherent system. But for post-16 choices - FE colleges, sixth forms, apprenticeship routes - there is no equivalent. Students navigate a patchwork of individual websites, paper forms, and disconnected portals.

ApplicaaOne is our answer to that gap. We are building a network that connects post-16 providers into a shared ecosystem - giving students a coherent way to explore their options, and giving institutions visibility across the full recruitment pipeline. The infrastructure layer that post-16 admissions has never had.

With 2,300+ schools already on the Applicaa platform and FE colleges joining from this month, the foundation is real. The goal is to make the transition from school to post-16 education as clear and well-supported as the transition from post-16 to university.

Students have always deserved that. Now the tools to deliver it actually exist.

Why now

The demographic pressures facing FE are not easing. Funding remains constrained. Qualification reform continues to reshape what colleges can offer. And prospective learners have more choices - and less patience - than ever before.

The colleges that thrive will be the ones that communicate their offer clearly, engage students early, and never lose sight of where someone is in their journey. For a decade, the technology to do that simply did not exist for FE. It does now.
