📝 Easy View for Phases

We've refreshed the Phase View to in the application form settings to include to include an Easy View option, to help make it clearer and easier to manage your application processes. After half term, Easy View will become the default view.

  • Access and layout: Click the Easy View button at the top of the page to see all default and custom phases on the left, with clear guidance on available actions. 
  • Phase controls: Each phase includes buttons to enable/disable visibility, filter access, edit phase details, and download blank phases. Custom phases can also be deleted or have new phases added directly.
  • Step management: On the right, each phase shows its steps, which can be collapsed, reordered, or expanded. Steps include visibility toggles for internal users, external applicants, and student profiles, plus options to edit names, descriptions, and applicant pop-ups.
  • Account creation phase: Default steps include Enquiry, Student Registration and Parent Registration - each with settings for configuration.
  • Helpful resources: Guides and articles are linked throughout the interface to support setup and configuration.

These updates provide a more structured, intuitive view of your application phases, making it easier to manage steps, visibility, and configuration for both staff and applicants. 

 

💬 Meetings (formerly "Interviews")

We’ve officially switched from “Interview” to “Meeting” throughout the system - a small change that better reflects how schools actually use the feature.

Here are the latest enhancements that make Meetings more powerful than ever.

Option to add meetings as a Phase
Meetings can now be added as a phase in the application journey, making them a formal part of student progression. When enabled, students must complete their meeting before moving to the next stage. Schools can choose which meetings count toward progression and toggle visibility for students. A new Meeting Status tile also appears on the student profile. Settings can be managed in the Advanced Application Area.

 

Calendar integration for meeting invitations
Students and staff can now add meetings directly to their Google, Outlook, Apple, or iCal calendars via a token in the meeting confirmation email.

 

Invitations log in student record
We’ve introduced a new Invitations Log in the student profile, which displays all meeting-related actions, including invitations, confirmations, changes, and updated notes.

 

APS displayed on course selection and meeting notes
Average Point Score now appears in the student details widget and below Grades within the course selection and meeting notes areas.

 

Option to CC parents on meeting emails
A new “CC Parent” checkbox has been added to meeting email templates, making it easy to include parents on communications automatically.

 

Create your own meeting names
A new Meeting Name field lets staff add an internal identifier when setting up a meeting - ideal for distinguishing between multiple sessions. This replaces the system generated ID that used to be created for each new meeting. 

 

New filter and column for meeting count
A new column shows how many meetings a student has been added to, with a filter option to sort or search by meeting count. 

 

Editable notes and Application Group on the meeting page
Meeting notes are now fully editable, and the Application Group is available as a new widget on the meeting page.

 

Subject status now on meeting notes
Subject eligibility now appears alongside subjects already listed in meeting notes, giving a clearer picture of student progress.

 

Bulk update meeting status
Staff can now bulk update student meeting statuses (e.g. Completed, Not Confirmed, Cancelled) directly from within a meeting.

 

✉️ Communications

Sort and search email templates
Email templates are now displayed alphabetically, with a built-in search bar to help staff find templates quickly.

 

No notifications when selecting ‘Make Offer (no email)’
When schools select ‘Make Offer (no email)’, no messages are sent to applicants or parents. Previously, notifications were triggered even without an email.

 

Choose a specific contact for test emails
When sending a test email, you can select a specific contact from the form rather than relying on a pre-set list.

 

Automated reminders for incomplete referee forms
You can now set automated reminder emails for referees who haven’t completed their reference forms within a chosen timeframe.

 

Start date for chaser emails
When scheduling chaser emails, staff are able set a start date for when the count begins, offering better control over follow-ups.

 

📅 Events

Add guests manually
A new “Add Guest” option in the Events table allows staff to register students or guests manually via the Actions dropdown.

 

Event form updates

  • Phone Number Field - you can now make this field optional or disable it entirely for both the lead registrant and any additional registrants.
  • Registrant Type - you can now disable one of the options (e.g. Child/Student or Adult) if you wish. You can also update the label displayed to registrants to suit your needs (e.g. Child/Student → Applicant).

New toggle to disable personal email collection
A new toggle in Global Form Settings allows schools to disable the personal email collection requirement for internal students, making it optional during onboarding.

Improved address matching for MIS sync (Arbor, Bromcom, iSAMS)
We’ve introduced a smarter address-matching feature during imports to help ensure families are correctly linked in your MIS. Admissions+ will now detect potential address duplicates - even when details differ slightly (e.g., “Cherry Tree House” vs “Cherry Tree house”) - and let staff review and select the correct match before syncing.

 

UPN or ULN required for student imports
Internal student imports now require a UPN or ULN field to help ensure data consistency and integrity. If one is missing, the import will fail with an error message indicating that UPN or ULN is required.

 

🌐ApplicaaOne

Peer-to-Peer reviews on profiles
Students can now share authentic feedback about post-16 life - covering teaching, support, facilities and more - through our new peer-to-peer review system on ApplicaaOne.

All reviews are verified and moderated, with schools able to review, approve, and respond before publication. This helps keep feedback constructive while showcasing your school’s strengths and student voices.
